Sheridan College oneCARD Agreement - Terms and Conditions of Use

 

When reading the following agreement, the words "you," "your," and “cardholder” refer to the person named on the Sheridan physical and/or digital oneCARD (“oneCARD”). “Sheridan”, “we” or “us” refers to The Sheridan College Institute of Technology and Advanced Learning.

 

Your Agreement to the Terms

 

Receipt upon issuance, depositing funds into your oneCARD account, and use of your Sheridan oneCARD indicates your agreement to these oneCARD Agreement Terms and Conditions of Use (the “Terms”).

 

We may from time to time change the Terms, which changes will be posted on the oneCARD website at http://onecard.sheridancollege.ca/. You are responsible for checking the site regularly and for adherence to the Terms at all times. Future changes will apply to all oneCARDs and will supersede the previous terms and conditions in effect. Any violation of these Terms by Sheridan employees may result in discipline up to and including dismissal. Any violation of these Terms by students may result in discipline up to and including expulsion.

 

Although the oneCARD remains the property of Sheridan, it is entrusted to you for your convenience while enrolled, employed, and/or using the facilities at Sheridan. However, we may revoke your oneCARD and/or specific services and privileges attached to your oneCARD at any time. You agree to surrender your oneCARD immediately upon request or upon academic withdrawal from or cessation of employment at Sheridan.

 

Card Use

 

The oneCARD is the official identification card for Sheridan students, employees, and third parties on campus. It is also your library card, declining balance card where accepted by service providers, and your access card to facilities. We may also run certain oneCARD contests and promotional events to encourage oneCARD usage among cardholders.

 

You agree to use your oneCARD in a manner consistent with the Student Code of Conduct, Code of Professionalism and Civility and to abide by all policies of Sheridan.

 

You may only use the oneCARD while you are an active registered student, employee, or valid third-party user. The oneCARD is issued only to you for your own use. It must not be transferredto or shared with anyone else. You must not allow unauthorized persons to access Sheridan or its facilities. Allowing use of the oneCARD by others compromises the security of other members of the Sheridan community.

 

Unauthorized use of your oneCARD may result in suspension of privileges, revocation and/or other sanctions, as deemed appropriate in our sole discretion. You are responsible for fully cooperating with Sheridan in the event Sheridan must recover from any unauthorized oneCARD use. Fraudulent or illegal use of the Sheridan oneCARD may result in criminal charges and/or civil proceedings.

Declining Balance

 

You may use your oneCARD as a declining balance card where accepted by service providers, provided funds are available in your account. Students under the age of 16 must provide parental or guardian consent to oneCARD terms, use of photo as well as declining balance feature of the oneCARD. The oneCARD may be used for transactions including, but not limited to, printing services, library services, and bookstore purchases. If you purchase an item, funds will be deducted from the declining balance portion of your account. You can view your online oneCARD statement at any time by logging in to your oneCARD account on the oneCARD website. Declining balance funds remaining on your account at the end of the academic term will automatically roll over to the next term until no transactions have been processed for 365 consecutive days at which time any remaining funds will be forfeited.

 

Prohibited Purchases: The purchase of alcohol, cigarettes, cashback transactions, lottery tickets, pornographic material, and prepaid credit/gift cards is prohibited.

 

Currency: All oneCARD account funds are in Canadian dollars and a maximum of $1,500 can be held in any single oneCARD declining balance account.

 

Deductions: For students, Sheridan reserves the right to deduct any outstanding balance on your student account from the remaining balance of your oneCARD funds.

 

Your oneCARD must be shown on demand to any Sheridan employee or security personnel.

 

Error Resolution Procedures and Account Holder’s Rights: In case of errors or questions, including charge disputes, about your account, please call or e-mail the oneCARD office.

 

Refund Process: Refunds from the declining balance Flex account may only be made upon written request by the cardholder at the oneCARD Office. A $50 administration fee applies. All refunds are issued by cheque and mailed to the address on file at the Office of the Registrar. Refund cheques are processed and mailed 7-10 business days after the request is made. See next section for meal plan account refunds.

 

Privacy

The information contained on and in the oneCARD including the photograph is collected pursuant to the Ontario Colleges of Applied Arts and Technology Act, S.O. 2002, c. 8, Sched. F, as amended. This information will only be used by Sheridan for legitimate business purposes and will not be released to persons outside of Sheridanwith the exception of authorized third parties affiliated with Sheridan. Your account and personal information will be kept confidential by Sheridan by those who require the information to provide the service. Your oneCARD photo may be used to create photo-class lists, employee lists (including but not limited to organizational charts), and to provide identification to access Sheridan facilities and services as required. For students, this may include attendance and participation in classes and labs and the writing of examinations.

Disclosure of Account Information to Third Parties: Disclosure of your photo identification and information is limited to the permitted instances outlined in the Freedom of Information and Protection of Privacy Act, R.S.O. 1990, c. F.31, as amended, which includes but is not limited to, disclosure to comply with applicable laws, law enforcement, and in compelling circumstances affecting your health and safety.

Parents of students under the age of 18 will receive account information upon written requestthrough the Office of the Registrar.

 

Authorized Sheridan departments requesting account information for purposes of law enforcement investigation or account reconciliation will receive detailed information upon request.

 

Photo identification of students who use the Mississauga YMCA will be viewed by the Mississauga YMCA staff in order to ensure eligibility for use of the facilities. oneCARD users of these facilities acknowledge and accept this permitted use.

OneCard, OneWeb Accessibility Statement

TouchNet (OneCard) strives to provide the best possible software experience for all those who use our Rich Internet Applications, including those with disabilities. We work to achieve that goal through compliance with industry accessibility standards, including Section 508 of the US Rehabilitation Act and level AA of the World Wide Web Consortium (W3C) Web Content Accessibility Guidelines 2.0. in our interface designs and software development.

Features used to enhance accessibility

  • Textual equivalents are provided for all non-textual elements.
  • All forms and form elements are designed for accessibility.
  • Color recognition is not required to convey information.
  • Style sheets are not required to view content.
  • Data tables are clearly identified for logical use.
  • No multimedia elements are used.
  • Server/client images and maps are not utilized in applications.
  • Frames are not utilized in applications.
  • Animation is not utilized in applications.

Ongoing accessibility initiatives include

  • Review of updated guidelines as they are released.
  • Continuing assessment of application software and development processes as they relate to future guidelines.
  • Working with third party providers to review, document, remediate issues and provide detailed VPAT 2.0 documentation.

Conformance with official accessibility guidelines

The website currently is conformant with the Web Content Accessibility Guidelines(WCAG) 2.0. Our most recent web accessibility audit for this web application was on April 19, 2018.
